Administrative Assistant

We’re recruiting an Administrative Assistant with super organisational skills to support our team and help with various admin tasks across a whole range of exciting projects. Could this be you?

Salary: £22.50 per hour, starting 10-15 hours per week.

Contract: 12 month role, with potential to extend and increase hours.

Location: Frome or Bristol, working from home (our Director lives in Frome, & our office is in Bristol)

Reporting to: Head of Operations and Director

Overall line-manager: Director

Admin Assistant at Mindfully Wired:

MWC is a vibrant and unique communications consultancy working on environmental issues and campaigns through bold, values-led communication. Within the environmental sector, we have a specialism in ocean-themed topics, working broadly across issues such as marine governance and protection, seafood marketing and the blue economy, and coastal communities.

The role:

We need an Administrative Assistant who is meticulous about detail, extremely personable and proactive, and always thinking one step ahead. The role will involve providing part-time support to the Director and Operations Manager, as well as general admin support for the wider team.

Starting at 10 to 15 hours per week, the work can be flexibly delivered in agreement with the Director and Operations Manager, but there is an expectation of at least one hour on a Monday, as well some alignment with the Director’s working hours, which are Tuesday to Thursday each week. Equipment for the position will be provided.

Duties for the Administrative Assistant are anticipated to be limited largely to the following:

  • Diary and email support for the Director’s inbox, prioritising content, flagging key emails for response, and arranging meetings
  • Financial administration, including support for drafting invoices with guidance from the Operations Manager
  • Maintenance of the administrative filing structures including financial information, such as invoices, expenses, receipts etc.
  • Arrangement of travel and accommodation for team members
  • Any further ad hoc administrative duties as may be required by the Director or Operations Manager, including, but not limited to, the purchasing of business equipment, project administration support as required, and the organisation of team social events and away days

Person Specification:

The ideal candidate will be friendly, flexible, highly professional and an adept multi-tasker with the following skills:

Essential:

  • Administrative experience, including diary and email management
  • Exceptionally organised, with the ability to maintain organised digital filing systems (G-drive, email inbox etc.)
  • Experience of overseeing and using administrative processes
  • Fluent in the use of Microsoft Office and confident with Google tools
  • Excellent oral and written skills, including the ability to confidently liaise with other professionals and diverse stakeholders
  • Calm and friendly demeanour with the ability to forge excellent working relationships
  • Highly dependable and flexible
  • Determination, drive and the ability to juggle a diverse workload whilst consistently delivering to deadline

Desirables

  • Degree level qualification
  • Experience of financial processes (such as drafting invoices)
  • Demonstrable interest in the environment
